Vendor Invoice Guard
Catch vendor overcharges before you pay.
Vendor Invoice Guard helps ecommerce, import, and small wholesale teams reconcile supplier invoices before payment—without needing a full AP or ERP platform.
Upload your purchase orders, receiving records, and invoices. The Agent performs deterministic 2-way and 3-way checks, then returns evidence-linked decisions for human review.
What it checks
- Duplicate invoice numbers across the current batch and prior batches
- Invoice quantity above the PO quantity
- Invoice quantity above received quantity
- Price differences outside the allowed tolerance
- Unauthorized shipping, freight, handling, or tax charges
- Currency mismatches
- Missing POs, receipts, or required fields
- Partial receipts and low-confidence extraction
- Vendor/SKU price drift across batches
Your results
Every invoice line receives one clear status:
| Status | Meaning |
|---|---|
| APPROVE | All required comparisons passed with at least 95% extraction confidence. Eligible for human approval only. |
| HOLD | A duplicate, overage, unsupported fee, currency mismatch, or material variance needs resolution before payment. |
| REVIEW | A document is missing, a receipt is partial, or the evidence is unclear. Keep payment pending for a human reviewer. |
You receive:
- A Markdown batch summary
- A PDF reconciliation report
- An exception CSV for bookkeeping or AP review
- Source page or row references for every finding
- A durable history file for duplicate and price-drift checks
- Optional supplier correction-email drafts for HOLD items
Supported files
- Text-readable PDF
- CSV
- XLSX
For the best result, provide one batch in a single currency and include the PO, receipt/GRN when available, and invoice.
v1 limits: up to 30 POs, 30 receipts, and 30 invoices per batch; 50 MB total. Image-only scans and OCR are not supported.
Built for safe human review
Vendor Invoice Guard never:
- Makes a payment
- Writes back to QuickBooks, Xero, or an ERP
- Claims an invoice is fraudulent
- Provides tax, legal, or accounting advice
It provides deterministic arithmetic reconciliation and evidence for your team to review.
Example
17 invoices checked · 3 HOLD results · $347 potential payment variance
Every exception includes its original invoice or PO source row.
Potential variance is a review signal—not confirmed savings. You remain responsible for payment approval.
