PayoutProof — Shopify Payout Reconciler

Turn Shopify orders, payment activity, and optional bank exports into a clear reconciliation report—with evidence for every exception.

Important: PayoutProof is an automated reconciliation aid, not accounting, tax, legal, investment, or independent audit advice. Review every exception before changing your books or moving money.

How PayoutProof reconciles Shopify payouts

Stop comparing Shopify payouts by hand

PayoutProof compares Shopify orders, refunds, processing fees, adjustments, payout batches, and optional bank deposits using deterministic decimal calculations.

It clearly shows what reconciled, what is pending, what differs, and what needs human review—along with the calculation behind every conclusion.

Built for

  • Shopify merchants investigating payout differences
  • Bookkeepers completing month-end reconciliation
  • Accountants reviewing Shopify Payments activity
  • Agencies and finance teams managing merchant operations

What you upload

  1. Shopify Orders CSV
  2. Shopify Payments transactions CSV
  3. Optional bank-transactions CSV for deposit matching

No Shopify password, bank login, Shopify API key, or bank API credential is required.

What PayoutProof checks

  • Order totals against refunds and payment activity
  • Shopify processing fees and expected net amounts
  • Missing or differently valued transactions
  • Pending, failed, and incomplete payouts
  • Adjustments not linked to exported orders
  • Payout batches against bank deposits
  • Short, excessive, missing, or delayed deposits
  • Duplicate and ambiguous bank-match candidates

An automatic bank match requires one unique candidate matching the payout's currency, amount, expected forward posting-date window, and configured Shopify bank-description pattern.

Uncertain candidates are marked for review instead of being silently accepted.

What you receive

  • Plain-language Markdown summary
  • Professional HTML report
  • Filterable Excel workbook
  • Order-level reconciliation CSV
  • Payout-to-bank reconciliation CSV
  • Payout activity not linked to an order
  • Relevant unmatched bank candidates
  • Machine-readable JSON summary
  • SHA-256 integrity manifest

Example PayoutProof reconciliation results

Example reconciliation

Demo outcome: 7 orders checked, 4 fully matched, 1 pending, 2 order exceptions, 2 bank deposits matched, and 1 payout difference requiring review.

PayoutProof identifies:

  • One order with no Shopify Payments activity
  • One order short by EUR 5.00
  • One payout expecting EUR 45.05 but receiving EUR 44.00
  • One unlinked EUR 10.00 adjustment
  • EUR 324.86 order-linked payout net versus EUR 334.86 total payout activity

The result is not merely “matched” or “unmatched.” PayoutProof explains exactly what created each difference.

Privacy and safety

PayoutProof report bundle and privacy protections
  • The deterministic reconciliation engine makes no outbound network requests
  • Shopify customer names, emails, addresses, and product details are excluded from reports
  • Unrelated bank transactions are excluded from the default output
  • Spreadsheet formula injection and unsafe HTML content are neutralized
  • Original input filenames are not published in reports
  • SHA-256 hashes provide file-integrity evidence

When run on Capafy, uploaded data is processed through Capafy and the AI provider disclosed on this Agent Card.

Current scope

Supported: Shopify Payments exports, optional bank CSV matching, and currencies with exactly two decimal minor units—including EUR, USD, GBP, CAD, AUD, and CHF.

Not currently supported: third-party gateways without separate exports, zero-decimal currencies such as JPY, three-decimal currencies such as KWD, or foreign-exchange activity without explicit conversion records.

Ambiguous dates and unsupported columns are rejected instead of guessed.

How to start

Upload Shopify Orders and Shopify Payments CSV files covering the same period. Add a bank CSV if you also want payout-to-deposit matching.

Then ask:

“Reconcile these Shopify exports and explain every exception.”

PayoutProof validates the files before calculating anything and clearly explains missing columns, unsupported formats, ambiguous dates, and transactions requiring review.
